View All Requests

The View All Requests tile allows Users with Request Admin privileges to do the following:
- View and search for any request in any status.
- Reassign Approvers and/or Submitters on a request
- Cancel Requests
- Delete Draft Requests
- Depending on privileges, request admins can view Status, Activity Details, History, Screening Results, and assigned Tasks associated with any request submitted by all users in the system.
Note: The wording of tiles during our onboarding process may vary depending on your organization’s specifications. The instructions below are meant as a general guideline only.
To access View All Requests, click Admin in the left navigation menu and then the View All Requests tile.

Once you've entered the View All Requests screen, you will see separate tabs for Approvals & Disclosures, Third-Party Management, and Compliance Monitoring, Campaigns, and FMV Profiling.
Note: Depending on your organization's specifications during the onboarding process, the number of tabs and wording of tabs may vary. Despite the wording differences, all actions described in this guide should function in the same way.
In the screenshot below, the first tab is labeled Approvals & Disclosures. Draft requests will always be displayed first.

Each column can be sorted either ascending or descending by clicking on the column name at the top of the list.

Search for a Request
Request Admins can search for a request by Request ID, Submitter's first name, or Request Title.
Next to the search box, the page displays the number of requests. Admins may use the < > buttons to move backward and forward through the pages of requests.

View Request Information
Request Admins will have the privilege to View Status, Activity Details, Recipient Details, History, Screening Results, and assigned Tasks associated with any request submitted by all Submitters in the system.
Note: Depending on your organization’s specifications, privilege settings may differ. The instructions below are based on the default settings and are meant as a general guideline only.
To view a request in greater detail, click on the Request ID from the All Requests screen.

Once a request is submitted for approval there are several places within the system and the request where the Submitter, Approver, or an Admin can find additional information about the request.
Note: Depending on your organization's specifications, the tabs shown within the request and the exact wording of the tabs may vary. In this example, the tabs are named Request, Screening, and Tasks.
Click through the dropdown boxes below for more information on each tab.
Request Tab

| 1 | Request Details | Displays the Request ID, Created Date, History Icon, and Status. |

| 3 | Total Amount | Displays total amount of support for the request. Click on dollar amount to view the Aggregate Analysis table for the request. |

Request Status & Approval Flow | Details of the Approval Flow can be viewed by clicking on the Status button in the Request Details box. Click here for info on Status Types or Approval Flow. |

| 6 | Activity Details | Clicking on Activity Details will display all of the activity information entered by the Submitter. |

Screening Flag | If screening results are returned for a recipient, a flag will be displayed next to the recipient's name. Screening results are accessible via the Screening Tab (see below).Click here for detailed information on Screening. |

Recipient Amount Flag | If there is a discrepancy between the FMV rate and the amount entered for a recipient, there will be an exclamation point next to that recipient's name. Click here for detailed information on how FMV works within the system. Note: FMV is only applicable to Engage a Consultant request type. |

Screening Tab

| 1 | Request Details Box | Displays the Request ID, Created Date, History Icon, and Status. |
| 2 | Screening Results | Provides high-level view of the screening results for each screened party. Potential Match indicates there are unresolved screening results, No Match indicates that no potential matches were returned from the screening provider, Match means that the result has already been reviewed and determined to be a true match. |

Tasks Tab

| 1 | Request Details Box | Displays the Request ID, Created Date, History Icon, Status, and Approver Flow information. |

Add Files Tab
Add Files Tab
The Add Files tab allows anyone with access to a request to easily upload files to a request.
Once a request has been submitted, users can access Add Files by clicking on the tab.
Note: All users who have access to the request can access the Add Files tab and upload files. This includes the submitter, approver(s), collaborator(s), and any admin with the View All Requests privilege.

To add a file, click Add File(s).

One or more files can be added and the user will have the option to add comments.
Note: Any added comments are displayed in the Request History, not the Add Files Tab.
Note: Executable files or files larger than 50 megabytes cannot be uploaded.

Prior to uploading the files, they can be deleted by clicking on the Trash Can Icon next to the file that you want to delete and then confirming your action by clicking Yes.

After clicking Confirm, uploaded files can only be deleted by the user who uploaded the files or a Request Admin. To delete a file after uploading it, click the Red Circle on the right. Click Confirm.

To download a file, click the Name.

Added or removed files will be noted in the Request History along with the name of the person who made the change. Any comments that were added are also displayed in the Request History.

The added or removed files are also displayed in Request Version Comparison.

Reassigning the Submitter and the Approver of a request is also done through View All Request.

Reassign the Submitter of a Request
Admins with the Reassign Submitter privilege have the ability to reassign the submitter on requests in Draft, In Progress, Update Pending, Approved, Approved with Conditions, and Recorded Requests.
Note: Requests with a status of Deleted, Rejected, or Canceled cannot be reassigned.
Note: The original submitter becomes a collaborator and can still access the request under Shared with Me tab
To access the reassign submitter feature, first click Admin from the left navigation bar, then click on the tile for View all Requests.

Once you have located the request that you need to reassign, click the Gray Icon containing three dots to the far right of the request ID. Select Reassign Submitter.

A Reassign Submitter popup box will open showing the current submitter. The user can then remove the current submitter and select a new submitter from the dropdown list. Once the submitter has been reassigned, click Save Changes.

Once a request is reassigned, the system will indicate that the request is now Shared with the prior submitter in the top right corner of the page.

- The request will move from the original submitter’s Submissions tab to the Shared with Me tab.
- The system will send an email notification to the new submitter to notify them that they have been changed to the submitter of the request.
- The submitter change will be recorded in the request history.

Reassign Approver(s) on a Request Admins with the Reassign Approvers privilege, c
Admins with the Reassign Approvers privilege, can reassign Approvers on any request that's In Progress.
Note: Requests with a status of Draft, Completed, or Canceled cannot be changed.
Note: Approvers can only be reassigned if they have not yet taken action. If an approver has already approved, they cannot be reassigned.
Note: The approver can be reassigned to any user in the system, even if that user doesn't have approver privileges. The reassigned request will appear in the selected user's approval tab and an email notification will be sent to the new approver.
To access the reassign approver feature, first click Admin from the left navigation bar, then click on the tile for View all Requests.

Once you have located the request that you need to reassign, click the Gray Icon containing three dots to the far right of the request ID. Select Reassign Approver.

A Reassign Approvers popup box will open. Once the approver has been reassigned, click Save Changes.
Once changes are saved, the system will:
- Send an email to the new approver to notify them that a request is awaiting their approval.
- Add a note to the request history that the approver was changed.
Note: The system does not automatically remove approver collaborators if the original approver is reassigned.
For example, if approver A has approver collaborators and/or an automated approver collaborator assigned, and approver A is reassigned to approver B, then the assigned approver collaborators for A still exist and can act on the request. Collaborators must be removed manually from the request by following the instructions for Approver Collaborators.
